Business Process Automation

Replace manual workflows with systems that run themselves.

Nearly 40% of financial transactions in African businesses still require manual reconciliation. Beyond finance, procurement approvals travel by email, HR onboarding relies on printed forms, and reports are assembled by copying data between spreadsheets. This manual work is expensive, error-prone, and demoralising for the people doing it. We identify the workflows ripe for automation and build the systems that replace them, giving your team time back to focus on work that actually requires human judgement.

What We Do

Everything included in our Business Process Automation service.

Workflow Analysis & Automation Mapping

Before building anything, we document your current processes: where information flows, where it gets stuck, where errors occur, and where human time is spent on work that software could handle. This analysis produces a prioritised automation roadmap with realistic ROI estimates for each item.

Custom Automation Development

We build bespoke automation systems tailored to your specific processes, not generic platforms that require your business to change to fit the tool. Whether that is automated invoice processing, approval routing, report generation, or data synchronisation between systems, we build exactly what your workflow requires.

System Integration & Data Sync

Many automation needs are really integration needs: your accounting software does not talk to your CRM, your HR system does not update your project management tool, your M-Pesa payments do not reconcile automatically with your ERP. We build the integrations that keep your systems in sync without manual intervention.

Document Processing & Generation

Automated generation of contracts, invoices, reports, compliance documents, and certificates from your existing data. We also build automated ingestion of incoming documents, extracting data from PDFs, emails, and forms into your systems without manual data entry.

Notification & Communication Automation

Automated alerts, approval requests, status updates, and customer communications via email, SMS, and WhatsApp Business. We configure triggers so the right people receive the right information at the right time, without someone manually sending messages.

Reporting & Dashboard Automation

Scheduled reports delivered to stakeholders automatically, dashboards that pull live data from multiple systems, and alerts that fire when key metrics go outside normal ranges. No more manually compiling data from five different spreadsheets every Monday morning.

RPA & Legacy System Integration

Some systems do not have APIs and cannot be integrated conventionally. We use robotic process automation techniques to automate interactions with legacy web interfaces, desktop applications, and government portals that were never designed with integration in mind.

Why Afriq Silicon

What makes our Business Process Automation service different.

1

We build for African business systems

Automation in Kenya means integrating with Safaricom Daraja, KRA eTIMS, local banking APIs, and government portals that are often poorly documented and inconsistently available. We have experience working with these systems and designing automation that handles their real-world behaviour, not just the happy path.

2

We start with the highest-ROI opportunities

Not every manual process is worth automating. Some are too complex, too variable, or too infrequent to justify the investment. We help you identify which automations will deliver meaningful time savings and error reduction, and we build those first, so you see return on investment quickly.

3

We document and hand over, not hold hostage

Automation systems that only the original developer understands are a business risk. We document every workflow we automate: what triggers it, what it does, how to modify it, and what to do when it fails. Your team can maintain and extend the automation without depending on us indefinitely.

Frequently Asked Questions

Common questions about our Business Process Automation service.

Which business processes are good candidates for automation?
The best candidates are high-volume, repetitive, rule-based processes: invoice processing and reconciliation, approval routing, report generation, data entry between systems, customer onboarding steps, and compliance document generation. Processes that require complex human judgement or sensitive interpersonal interactions are usually not good automation candidates, and we will tell you that clearly rather than automate something that should stay human.
We use accounting software, CRM, and ERP systems from different vendors. Can you connect them?
Usually yes. We have integrated QuickBooks, Sage, Xero, various local accounting systems, Salesforce, Zoho CRM, and several ERP platforms with custom business systems. Integration feasibility depends on what APIs the software exposes. We assess feasibility and cost before committing to an integration.
What happens when an automated process fails?
We design automation with failure handling built in: error logging, automatic retries for transient failures, alerts to the appropriate people when intervention is needed, and clear audit trails showing what the system did and when. Automation that fails silently is worse than no automation, we make sure failures are visible and actionable.
How long does it take to implement a business process automation?
Simple integrations between two systems with well-documented APIs can be implemented in 2 to 4 weeks. Complex multi-system workflows with custom business logic, document processing, or legacy system integration typically take 6 to 16 weeks. We scope each engagement individually after the workflow analysis.
